Rental Terms & Conditions Agreement

This agreement sets out the terms and conditions under which vehicles are rented from Hakuba Rent a Car (“the Company”). By signing or submitting a reservation request, the renter (“the Customer”) agrees to the following:

1. Licence Requirements

• The Customer must hold a valid driver’s licence from their home country and a valid International Driving Permit (IDP), unless otherwise permitted under Japanese law.
• The licence and IDP must be presented at the time of rental.

2. Rental Period

• The rental period begins at the agreed pick-up time and ends at the agreed return time.
• Late returns may incur additional charges.

3. Vehicle Use

• Vehicles must be used only on public roads and in compliance with Japanese traffic laws.
• The Customer must not drive under the influence of alcohol or drugs.
• Smoking inside the vehicle is strictly prohibited.
• The vehicle must not be driven outside Japan.

4. Insurance & Liability

• All vehicles include basic insurance coverage as required by Japanese law.
• Optional insurance upgrades (such as Collision Damage Waiver or Excess Reduction) may be purchased.
• The Customer is liable for any damage, loss, or theft of the vehicle, except where covered by insurance.
• In the event of an accident, the Customer must immediately notify both the Company and the police.

5. Fuel Policy

• Vehicles must be returned with the same fuel level as at pick-up.
• If the vehicle is returned with less fuel, refuelling charges will apply.

6. Equipment & Accessories

• Optional equipment such as child seats, GPS navigation, winter tyres, tyre chains, or ski carriers must be reserved in advance and may be subject to additional fees.
• The Customer is responsible for the proper use and return of all rented equipment.

7. Breakdown & Emergency

• In the event of mechanical failure, the Customer must contact the Company immediately for instructions.
• The Company will arrange roadside assistance or vehicle replacement where possible.

8. Cancellation Policy

• Free cancellation is available up to 24 hours before the scheduled pick-up time.
• Cancellations made less than 24 hours before pick-up may incur a cancellation fee.

9. Return Condition

• Vehicles must be returned in a clean and undamaged condition, except for normal wear and tear.
• Additional cleaning or repair fees may apply if the vehicle is returned in poor condition.

10. Governing Law

• This agreement is governed by the laws of Japan.
• Any disputes shall be subject to the exclusive jurisdiction of the Japanese courts.
