Terms and Conditions & Booking Policies

Please read these Terms and Conditions carefully before booking. By making a reservation with Hakuba Rent a Car, you agree to comply with the following rules.

1. Driver's License Requirements

To drive in Japan, you must possess one of the following valid licenses. Digital copies are NOT accepted; you must present the original hard copy. As long as you have a valid license required for driving in Japan, there are no age restrictions.

  1. International Driving Permit (IDP): Issued under the 1949 Geneva Convention.
    *IDPs based on the 1968 Vienna Convention are NOT valid in Japan.
  2. Foreign Driver’s License with Official Translation: For licenses issued in Switzerland, Germany, France, Belgium, Slovenia, Monaco, and Taiwan. You must present the original license AND an official Japanese translation.
  3. Japanese Driver's License: A valid license issued in Japan.

2. Booking & Cancellation Policy

Cancellation Fees

If you need to cancel your reservation, please contact us immediately. Cancellation fees apply as follows:

48 hours or more before pick-up Free (No charge)
Within 48 hours of pick-up 50% of the rental fee
No-Show (Failure to arrive) 100% of the rental fee

Optional Equipment

  • Child Seats: Available for 550 JPY per 24 hours. Please request in advance.

3. Insurance & Liability (NOC)

Our rental rates include basic insurance coverage. However, in the event of an accident, theft, or damage to the vehicle, a Non-Operation Charge (NOC) will apply to cover business losses during the repair period.

  • 55,000 JPY - If the vehicle can be driven back to the shop.
  • 110,000 JPY - If the vehicle cannot be driven (requires towing).

*Towing fees are the customer's responsibility unless covered by a protection plan.

4. Vehicle Use Rules

Fuel Policy

Vehicles are provided with a full tank. Please return the vehicle with a full tank of fuel.

If the vehicle is not returned with a full tank, a refueling charge will be calculated based on mileage:
Calculation: Distance driven (km) × 55 JPY

No Smoking & No Pets

All vehicles are strictly NON-SMOKING. Pets are NOT allowed in the vehicle. A cleaning penalty will be charged if evidence of smoking or pets is found.

5. Late Returns

Please return the vehicle by the scheduled time. Late returns will incur additional charges as specified in our price list. If you expect to be late, please contact us immediately.
